How to request an update for a fillable PDF form or long-form document on the website

Important information about posting PDF forms and documents

If you have a fillable PDF form (something people fill out and submit that isn't a dynamic form or MS Form) or a long-form document (like a Career Talk, etc.) that is on our website, please keep in mind these important points.

  • PDFs are challenging for accessibility and require several extra steps to meet our required standards. If we don't meet the minimum accessibility standards, the college can be subject to a lawsuit.
  • Accessibility standards and our understanding of them change from time to time, so documents are checked each time and may change from one time to the next.
  • Even if changes are required, I will always do my best not to change your content, only the presentation of it or the code behind it.

Proper procedure for requesting changes

  1. Start with the last WORD, PowerPoint, etc. version of the document that I sent back after the last updates. I always include in the closing ticket a new version of the item with instructions to save this version where it can be accessed for the next updates and requesting that you archive all other versions, including the one you sent with the request. That's to ensure that any style, formatting or accessibility updates that have been made will be retained and that work will not have to be repeated next time. 
    • If you are unable to locate the previous version, please contact Robyn.Wilcox@gvltec.edu before you start and I will resend it.
  2. Make your edits, then save as with the updated date in the name.
  3. Submit a Marketing Request Ticket, category Website, subcategory Other, provide the location/link where the form is currently found, and attach the updated version from #2 in the Word, PowerPoint, etc. format (not PDF).

Once I complete the checks and any adjustments I need to make, I will convert the document and post it, then close the ticket with the newest version attached for you to save for the next time.
